Quick fix checklist
- Use the phone appOpen the chat in WhatsApp on your Android phone or iPhone. WhatsApp’s export instructions cover only the phone apps, not WhatsApp Web or the desktop app.
- Look in the right menuOn Android, tap More options (three dots), then More, then Export chat. On iPhone, tap the contact or group name, then scroll to Export chat.
- Update WhatsAppInstall the latest version from Google Play or the App Store, then restart the phone.
- Check Advanced chat privacyTap the chat name and look for Advanced chat privacy. When it is on, nobody in that chat can export it.
- Free up storageExports, especially with media, need temporary space. Delete large files you no longer need and try again.
- Export without mediaChoose Without media (Android) or Without Media (iPhone). The file is far smaller and includes more history.
- Save to a different placeIf one app fails in the share sheet, save to Files, Google Drive or iCloud Drive instead of email.

Export chat is missing
Advanced chat privacy is switched on
WhatsApp introduced Advanced chat privacy in April 2025. When it is on in a chat or group, it blocks others from exporting the chat, stops media from auto-downloading to their phones and limits the use of messages for AI features. To check, tap the chat name and look for the setting.
The Electronic Frontier Foundation notes that, by default, anyone in a chat can change this setting, while group admins can restrict who edits group settings. Someone turned it on for a reason, so ask them before switching it off. Respecting that choice matters more than any export.
You are using WhatsApp Web or the desktop app
WhatsApp’s help page on exporting gives steps only for Android and iPhone. Export from your phone, then move the file to your computer. Our iPhone and Android guides show how.
The app is out of date or the menu moved
Older versions placed the option elsewhere. After updating, check both the chat menu and the contact or group info screen.
Account type, managed phone or country
Features can differ on work phones managed by an employer, in the WhatsApp Business app, or in some countries. WhatsApp’s export help page does not list such exceptions. If the option is still missing after the steps above on a work phone, ask your employer’s IT team whether a device policy restricts sharing files from WhatsApp.
Export starts but fails
- Email attachment too large. Personal Gmail accounts accept attachments up to 25 MB; larger files become a Google Drive link. On iPhone, Apple’s Mail Drop can send up to 5 GB. Saving to cloud storage avoids the problem.
- The share sheet closes or shows an error. Close other apps, free some storage and choose a simple destination such as Save to Files (iPhone) or Google Drive (Android).
- The export takes a long time. Media exports can be large. Keep WhatsApp open and the screen on until the share sheet appears.
The export is incomplete
WhatsApp limits the size of an export so that the file can be shared easily. In very long chats, the oldest messages may be left out, and media takes up much of the allowance. WhatsApp does not currently publish an exact message limit on its help pages, so treat older figures you see online with caution.
- Export without media to include the most text.
- With media, WhatsApp attaches only the most recent media from the chat.
- View once messages are never exported.
- Messages that already vanished under disappearing messages (24 hours, 7 days or 90 days) cannot be exported.
- Deleted messages appear only as a short notice, if at all.
If you need the full history of a very long chat, keep each export and note the date of the first message it contains. Store several exports made over time rather than replacing old ones.
A backup is not an export
Many people look for their chats in Google Drive or iCloud and find only a WhatsApp backup. Backups exist to restore WhatsApp on a phone. They cannot be opened as a readable chat file. WhatsApp also states the reverse: an export cannot be imported back into WhatsApp, because it is a text file and not a backup.
If a chat exists only in a backup, restore the backup into WhatsApp on a phone first, following WhatsApp’s own restore instructions carefully, then export the chat from there.
Garbled characters and odd date formats
Exports are plain text. If accented letters, non-Latin scripts or emoji look broken, the file was probably opened with the wrong text encoding. Open it in an editor that reads UTF-8, such as Notepad on a current version of Windows, or a code editor. When importing into a spreadsheet, choose UTF-8 as the file origin.
Dates and times follow the phone’s language and region settings, so the same chat exported in Spain, Japan or the US can look different. That is normal. Do not edit the file by hand to “fix” dates, because tools that read exports rely on the original format.
